Meeting Room Policy
The Scotland County Memorial Library meeting rooms are available free of charge to local non-profit groups of an educational or cultural nature. Meetings must be under the auspices of a responsible organization which assumes responsibility for the character of the meetings. By making its meeting facility available, Scotland County Memorial Library does not endorse the purpose and policies of the groups using it; the Library reserves the right to deny use of the meeting room to organizations which do not have general community acceptance. Meeting rooms are not available for partisan political meetings or sectarian religious purposes.
Library activities have priority over any other activity. The Library retains the right to cancel a reservation for the meeting room, and notice will be given if cancellation is necessary. Groups holding reservations are required to notify the Library of any cancellation at the earliest possible date in order to free the meeting room for other groups. Responsibility for any damage to Library property must be assumed by the group using the meeting room.
Basic rules:
The person requesting the use of the meeting room must complete a reservation form in person.
Reservations can be made up to 3 months in advance, and a group may have no more than six (6) meetings scheduled at any time.
The director or his designee must approve all registrations.
Completed reservation forms will be retained for a period of 6 months. During that period persons wishing to schedule a meeting may do so by calling the library.
No admission charge or request for donations can be made for any functions. No Solicitation is permitted.
All meetings must be open to the public within safety limitations of the space provided.
Each group is responsible for setting up the room as needed after the meeting. It is the responsibility of the group to leave the room as it was before the meeting.
Groups can apply to use the meeting room by requesting, completing, and returning a meeting room reservation form as soon as possible. Remember that space is available on a first-come and first-serve basis.
